We are looking for someone motivated, organized, responsible, and solution-oriented to bring some life, organization and more smiles to our shared office space here in Zaventem, Belgium.

What is this position about?

  • Oversee the overall office management in Zaventem, Belgium;
  • Be part of the global office Team (with colleagues in Austria & Spain);
  • Manage reception: answering incoming calls, visitors, and employees' access badges;
  • Prepare internal meeting spaces with adequate supplies and support;
  • Manage inventory of office supplies: raising purchase orders and goods receipts;
  • Collaborate with Finance on PO creation and Bill forwarding;
  • Continuously improving our office set-up;
  • Report and coordinate any maintenance/facilities issues with the building community manager;
  • Prepare, process and sort letters, parcels and other related packages;
  • Lead the preparation of local office events with support from the employees.

We have a match if you:

  • Have relevant experience in an office environment, preferably in an administrative role;
  • Are approachable and good at initiating different engagement initiatives that bring life to the office space;
  • Are solution-oriented, proactive, a good planner, organized, and you are comfortable in managing simultaneous activities;
  • Have good learning agility;
  • Are supportive of others and maintain a positive outlook;
  • Ensure and promote a safe work environment;
  • Are reliable and discreet;
  • Good office 365 skills;
  • Professional level of English (written and verbal) and Dutch or French knowledge needs to be advanced.
