We are looking for someone motivated, organized, responsible, and solution-oriented to bring some life, organization and more smiles to our shared office space here in Zaventem, Belgium.
What is this position about?
- Oversee the overall office management in Zaventem, Belgium;
- Be part of the global office Team (with colleagues in Austria & Spain);
- Manage reception: answering incoming calls, visitors, and employees' access badges;
- Prepare internal meeting spaces with adequate supplies and support;
- Manage inventory of office supplies: raising purchase orders and goods receipts;
- Collaborate with Finance on PO creation and Bill forwarding;
- Continuously improving our office set-up;
- Report and coordinate any maintenance/facilities issues with the building community manager;
- Prepare, process and sort letters, parcels and other related packages;
- Lead the preparation of local office events with support from the employees.

- Have relevant experience in an office environment, preferably in an administrative role;
- Are approachable and good at initiating different engagement initiatives that bring life to the office space;
- Are solution-oriented, proactive, a good planner, organized, and you are comfortable in managing simultaneous activities;
- Have good learning agility;
- Are supportive of others and maintain a positive outlook;
- Ensure and promote a safe work environment;
- Are reliable and discreet;
- Good office 365 skills;
- Professional level of English (written and verbal) and Dutch or French knowledge needs to be advanced.
