Are you a talented, ultra-organized Office Manager? VeriPark, a leading global software company is looking for a committed Office Manager to join the team and take on a range of responsibilities in our office in Brussels.

Key Responsibilities

Finance Responsibilities

  • Process invoices, ensuring they are authorized for payment;
  • Review and process staff expense claims;
  • Assist with weekly payment runs;
  • Assist with maintenance of EU cashbooks;
  • Maintenance of financial records and documentation of hard and soft copy files;
  • Assist with monthly bank reconciliations;
  • Ad hoc preparation of invoices;
  • Follow up on outstanding payments.

Office Responsibilities

  • Manage purchase order approval and fulfilment process;
  • Coordinate purchase of project equipment and materials and shipment to the field manage supplier relations and discoun;
  • Coordinate all staff flight purchases;
  • Look after Belgium office admin e.g. ordering stationery, managing deliveries;
  • Screening of incoming telephone calls.

Desired Skills and Experience

Essential criteria

  • Minimum of 1-2 years of experience in a related role;
  • In-depth knowledge of office management, bookkeeping and accounting procedures;
  • Experience in administrative support in an international work environment;
  • Excellent written and verbal communication skills in English, which is the working language;
  • Language knowledge on Dutch and French;
  • Ability to deal with sensitive and confidential information;
  • Strong Microsoft Office skills;
  • Well organized working style and ability to take ownership of responsibilities;
  • Good inter-personal skills and ability to maintain effective working relations;
  • Candidates must be eligible to work in Belgium at time of application.

Working Conditions

  • A full-time position (40 hours/Week);
  • Holiday Entitlement 32 days (20 + 12 ADV);
  • Line manager: managing director;
  • Permanent contract;
  • Benefits will include a group medical insurance plan, pension plan, lunch vouchers, transport costs covered according to scale.
