Description

The GLOBAL IT PMO Lead reports to the CIO. He'She is responsible for establishing and running the IT Project Management Office with the objective of ensuring all projects are delivered consistently within the agreed scope, time, cost and quality. This role will be two-fold:

  • overseeing the portfolio of organisational projects, providing expert knowledge, support and monitoring progress and reporting on the portfolio status to facilitate the decision-making process (go, stop, on hold) for the IT Leadership Team;
  • coordinating the deployment and on-going iteration of the organisation’s Project Delivery Approach with the Divisional Project Excellence teams.

He/she will have following responsibilities:

  • Produce agreed levels of Portfolio reporting on projects being delivered within the oversight of the Global PMO Lead;
  • Provide to the Global IT leadership meeting visibility on portfolio management and recommendation on -trade-offs decision;
  • Deliver an effective and timely schedule of project communications liaising with the relevant Sponsors and stakeholders including the Communications Team when necessary;
  • Devise, produce and implement new systems and processes to optimise more effective project management as required and within the framework of the organisation’s Project Delivery Approach;
  • Ensure that standardised and relevant document templates are available from a central repository for the PMO team members;
  • Ensure monitoring of progress against all projects is timely and accurate, and enables Sponsors and stakeholders to have visibility and sufficient information to make the required decisions;
  • Ensure post project reviews are in place and include lessons learnt exercises which identify both positive and negative outcomes to be actioned and shared with the different stakeholders;
  • Own the PMO central repository of documentation and processes including the PM Toolkit;
  • Ensure risks, issues and dependencies are being recorded, monitored and proactively managed to minimise disruption to successful delivery;
  • Facilitates sharing of best practices through informal communities of action, PMO collaboration and/or formal training sessions to enable a consistent approach across all projects;
  • Responsible for integrating and deploying project management methodology according to best practices;
  • Working closely with and updating other members, such as Project Managers and Business Analysts on project management principles and practices;
  • Work closely with internal and external project partners where appropriate, to devise, develop and deliver appropriate and proportionate systems to evaluate key activities at project level;
  • Provide advice and support to project partners on how project evidence and information must be presented and reported;
  • develop & lead/execute training regarding portfolio management and alignment with best practices;
  • Communicate conflicts and resource issues to the appropriate Lead or Stakeholder, with a proposed solution;
  • Will work closely with the Project Managers and divisional Business Partners to assist in managing resource requirements and to plan accordingly against related project pipeline and project delivery;
  • Encourage knowledge transfer and lessons learnt activities within the PMO teams to drive best practice.

Requirements

  • Minimum 5-8 years of business experience, including a proven track record as a key PMO Lead in a corporate environment preferably in manufacturing;
  • University degree in business or economics, commercial engineering or any IT related studies.

Functional competencies

  • Strong pro-activity and drive;
  • Good communication and interpersonal skills: able to work with various stakeholders in all parts of the world and at all levels;
  • Exposure to multi-cultural environments is a strong asset;
  • Outstanding problem-solving skills and successful experience in project management;
  • Excellent written and oral skills in English plus ideally a good level of oral and written skills in another language;
  • Willing to travel globally.
