The Permanent Representation of Malta to the European Union in Brussels is seeking to recruit Office Assistant in the Administration Office (Full Time) who meets the profile indicated below. The selected candidate would indicatively commence duties with effect from Quarter 4 of 2019.

This diverse role will include some/all of the following:

  • Carrying out a wide variety of office administrative tasks, including but not limited to procurement of goods and services, liaison with service providers via email and/orphone, drafting of letters, filing etc.

We are looking for someone who has the following qualities and skills:

  • A minimum of three (3) years proven experience administrative/financial/logistics positions. Work experience in similar work environments (embassy/permanent representation) will be considered an asset;
  • High level English written and oral communication skills (B2 or higher);
  • A good working knowledge of French (B1 or higher);
  • Knowledge of additional EU languages would be considered an asset;
  • Good educational level, preferably at EQF level 5 or 6;
  • An understanding of EU institutions would be an asset;
  • Strong initiative, organisational skills and the ability to work both independently and as part of a team;
  • Flexibility in view of work exigencies;
  • Excellent interpersonal skills;
  • Proficient in the use of MS Office packages and the Internet. Knowledge of software used for absence and/or financial management will be considered an asset.

The contract is for a definite duration for a period of 6 months with a possibility of further extensions. Should the performance of the selected candidate be proven satisfactory, an extension of an indefinite duration may be offered.

The successful applicant must be able to obtain and retain a Maltese Government security clearance. It should be noted that employment in this position gives no entitlement to Maltese civil service status.

Applicants must have the right to reside and work in Belgium. The Permanent Representation will not be responsible for any costs incurred associated with relocation, accommodation, work permits and visa costs, nor the return of the officer and/or family to their country of origin at the end of the contract.
