The International Society of Nephrology (ISN) is a philanthropic organization dedicated to advancing worldwide kidney health. We bridge the gaps of available care through advocacy and collaborations with our global partners. We build capacity with healthcare professionals via granting programs, education and research. By connecting communities, we develop a stronger understanding of how to manage kidney diseases and engage in a collaborative effort to improve prevention, diagnosis and treatment.

With over 10,000 professional members from over 150 countries, the ISN represents a wide international network and an efficient platform for timely scientific exchange, debate and communication between healthcare professionals involved in preventing and treating kidney disease. By collaborating with more than 100 national and regional societies, we reach out to an additional 30,000 health professionals globally.

As our HR & Operations manager you will be responsible for managing all the internal systems and processes that enable our team to deliver on our mission. This is a key role at the interface of our HR, IT and finance systems. Your role is a combination of overseeing specialist contractors (for IT and finance) and rolling your sleeves up to deliver all of our HR services.

You will be responsible for the following areas:

Systems & Processes (30%)

  • Maintains office services by organizing office operations and procedures, including IT systems and software, and designing online filing systems. Provides historical reference by defining procedures for retention, protection, retrieval, transfer and disposal of records;
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, making necessary adjustments;
  • GDPR compliance officer & guardian;
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement;
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, identifying trends as required.

HR (30%)

  • Provides overall HR direction and support;
  • Leads hiring, motivating, identification of training and development needs;
  • Analyses ISN roles within and across teams to ensure that critical tasks are performed;
  • Prepares and files payroll.

Finance (25%)

  • Controls and approves payments;
  • Liaises with Belgian accountants;
  • Liaises with US based finance manager;
  • First point of contact with suppliers and bank for finance questions.

Office Management (15%)

  • Controls correspondence, reviews and approves supply requisition;
  • Assigns and monitors clerical functions;
  • Allocates tasks across teams equitably.

Skills and Qualifications:

This role requires previous experience across a number of internal functions. We are looking for someone who can juggle demands across all the job areas and who has specific knowledge of Belgian HR rules and processes. You should also be financially literate, have experience of supply management, tracking budget expenses, delegating tasks, developing standards, promoting process improvement, with good reporting skills, able to work independently, able to prioritize and manage your own workload.
